Step 2

Qualification

After the recruitment fee has been credited to the candidate’s individual account and qualified for studies at IRK, the following information will appear: Qualified

You will also receive this information by e-mail.

Step 3

Conditional admission decision

After posting the application fee and accepting the required documents, submit the originals to the International Students Office. After submitting the documents, the commission issues a decision on admission to studies.

Step 4

Visa procedure

After receiving the documents from the Commission, apply for a visa.

Step 5

 Arrival to Poland

Original documents for admission to studies should be submitted to the International Students Office.

Follow the recruitment schedule for studies in a given academic year.

If you have received information about the granting you a place in a dormitory, read the accommodation schedule (details on: kampus.uni.opole.pl) and apply on the appointed day to accomodate in it (details at Dormitories).

Step 2

Admission proposal

The Commission verifies the documents. If they are complete and do not require explanations or additions you will get Admission proposal.

Within 14 days of receiving the offer of admission, the candidate pays the tuition fee.

Step 3

Conditional admission decision

After paying the tuition fees, the Commission issues Conditional admission decision.

The decision, along with other documents, will be sent to the e-mail address you provided in the IRK system.

Step 4

Visa procedure

After receiving the documents from the Commission, apply for a visa.

Step 5

Arrival to Poland

Original documents for admission to studies should be submitted to the International Students Office. Follow the recruitment schedule for studies for a given academic year.

UO Student Dormitories
Dean's office What does it do and where is it located?

At each faculty, for each field of study, a dean’s office is assigned.

It is the office of the dean of the faculty, where, for example:

  • you will get an electronic ID card (cost: PLN 22, see account number below)
  • you will get information about grades, account numbers, course of studies
  • you will receive a student status certificate
  • in the last semester of your studies, you will receive information on the defense of your bachelor/master’s thesis and you will receive your diploma after the defense
Student rights and obligations - what is allowed and what is not!
  • Remember to comply with the study regulations of The University of Opole!
  • Familiarize yourself with the organization of the academic year and keep an eye on the dates of examination sessions
  • If you have a problem with obtaining grades and entries in the USOS (check it regularly) – apply to your dean’s office for an extension of the session. The decision in this matter is made by the Dean. Application forms are available on the websites of faculties and institutes.
  • If at the end of the semester you fail to obtain all positive grades – submit an application for conditional entry to the dean’s office. Conditional enrollment is possible only if you have failed no more than two [2] subjects that are required to pass the semester, excluding subjects whose continuation has been planned in subsequent semesters
  • You can be directed to repeat failed subjects and conditional entry – within one subject – no more than twice [2].
  • If you have not passed the semester within the specified period, then the Dean of your faculty will make a decision on this matter – remember, however, that he will only do so at your written request.

Remember, in each of these situations, you must submit an application to the dean’s office as soon as possible so as not to be removed from the list of students!

Conditional entry involves a fee. How much will it cost?

  • Each subject has ECTS points (what this means – read below)
  • The amount of the fee depends on the number of points missing to complete the semester. Each semester consists of min. 30 ECTS points. You have to pay PLN 70 for each missing point to complete the semester.

* Remember to register for foreign languages, electives, PE and variable courses at the beginning of a given semester via the USOS system.

Bank account numbers

The bank account numbers of the university are on the student’s individual account in the USOS system (what this means – see below)

How to find them?

Log in to your USOSweb account and select the “FK student payments” tab.

You will find account numbers in it, thanks to which you will pay:

  • Tuition
  • repeating a semester or condition
  • dormitory
  • tokens
  • student’s ID

Remember, this is your individual account number!

Do not give it to your friends, they have their individual numbers.

Thesis defense
  • In the last semesters of your studies, you choose a supervisor and write your diploma / master’s thesis (related to a given field of study)
  • Remember that you have to defend it no later than 30.09 of the last year of studies
  • Before the defence, it is your duty to:
    1. meet all the requirements resulting from the program and schedule of your studies and obtaining a positive grade for the diploma thesis, if required by the study program;.
    2. final settlement with the University, which means that:
      • if you live in a dormitory – check if you have paid all fees; if not – do it
      • if you borrowed books from the library – make sure you return them; if not – return them
  • You will receive an electronic circulation card generated by your dean’s office to your e-mail id@student.uni.opole.pl. Make sure you fill it up.
  • Enter your private e-mail address in the appropriate place on the card.
  • The defense schedule is set individually by each department.
  • Before the defense date is set, your thesis must be approved by your supervisor and uploaded to the USOS APD system.
  • The date of the diploma exam is set by the coordinator of the field of study, in consultation with the student and the diploma thesis supervisor – not later than seven [7] days before the planned date of defense and approved by the dean
  • After the defense, the diploma will be waiting for you in the dean’s office. It will be ready for collection up to 30 days from the date of defense.
  • If you are unable to pick it up in person, you can authorize a trusted person to do so (in the presence of a dean’s office employee or notarized).
USOS - What is it?

USOS is “(…) an IT system used to manage the course of studies at a university (…)”.

It is an application developed by a consortium of state universities associated in the Inter-University Center for Informatization (MUCI).

After successfully registering in the IRK recruitment system, you will receive to your e-mail address (provided during the recruitment process) a unique identification number for the USOS system (it will consist of 6 digits) and an e-mail address for UO containing this number. Your email will look like this:

ID (id number from USUS – 6 digits)@student.uni.opole.pl

From now on, using this number, you will log into your account to be able to, for example, check your grades, subjects, groups, sign up for some classes or generate account numbers for payments (e.g. for dormitories, conditions, repeating a semester or tuition).

ECTS – European Credit Transfer System

What do ECTS credits mean? (European Credit Transfer System)

  • On the basis of the European Credit Transfer and Accumulation System (ECTS), individual subjects are assigned a certain number of credit points, regardless of the grade obtained. To pass a semester, you must earn 30 ECTS credits. ECTS points are a measure of the average workload of a learner necessary to achieve the assumed learning outcomes.
  • ECTS points are assigned to the classes credited by the student included in the study plan and curriculum. To obtain a diploma of completion of first-cycle studies, a student must obtain at least 180 ECTS points, to complete second-cycle studies – at least 90 ECTS points, and long-cycle studies – at least 300 ECTS points in the 5-year study system and 360 ECTS points in the 6-year studies.
  • For a student who transfers, together with ECTS points, classes completed at a university other than the home university, including a foreign one, these classes are included in the achievements expressed in ECTS points at the home university.
  • ECTS has been adopted by all universities in the European Higher Education Area (EHEA). Since 2007, all Polish higher education institutions have been obliged to use the ECTS system – both for the transfer and accumulation of credit points within their study programmes. Thanks to this, ECTS credits enable, for example, the recognition of semesters completed by foreign students at Polish universities.

Check-in by foreigners in the dormitory - one of the mandatory steps to legalize your stay in Poland

Step 1

Download and fill in the temporary residence application form.

You can request the form from the administration of the dormitory where you live or you can print it out.

Confirm the accommodation on the university campus with the administration of the dormitory.

The administration employee will confirm this information with a signature and a stamp

Step 3

Report to the Department of Civil Affairs of the City Hall. Don’t forget to take:

  • your passport;
  • a signed application for temporary stay

Check-in is free of chargé.

In order to obtain a registration certificate, a stamp duty must be paid (payable at the City Hall).

You will receive the certificate on the spot.

Allowance

If you find yourself in a difficult life situation, e.g. you become a parent, someone from your loved ones dies or becomes seriously ill, you can count on one-time financial support from the University of Opole: ALLOWANCE. How to apply for it??

Step 1

Submit an application

on the website:

Write a justification.

Attach a document confirming the situation (e.g. birth certificate, death certificate, invoices for medicines, hospital certificate)

Step 2

Remember: documents must be translated into Polish by a Polish sworn translator.

Don’t forget to provide your Polish bank account number.

Step 3

Decisions on granting the allowance are made by the University Scholarship Committee.

The payment of the allowance will be made after receiving the decision in the system.

Step 4

All benefits are paid on the 28th of the month, from November to June.

Rector’s scholarship

If after completing the first year of studies (and subsequent years) you have obtained an average grade above 4.0 – you can apply for the RECTOR’S SCHOLARSHIP. How to do it?

If you participated in conferences, seminars, workshops, or you published articles – collect certificates regarding these activities and attach them to the application.

You can get extra points for that!

Enter you bank account number on the USOSweb website. The scholarschip will be transfer to that account you entered.

Step 4

The Rector’s Scholarship is paid on the 28th of the month from November to June (with compensation for October)

Social scholarship

A student whose income per family member is not higher than specified in the Rector’s Ordinance may apply for the social acholarschip. How to do it?

Remember!

  • 999 is the emergency number of the ambulance service, the call is answered directly by the medical dispatcher
  • 112 is a universal emergency number that is valid on the territory of the European Union and is used for notification not only in health and life-threatening situations. The call is answered by the operator who, after the conversation, notifies the appropriate services: ambulance, fire brigade, police, water rescue services etc., or connects directly with the appropriate service.

Medical help – visit to the specialist

Please remember that in Poland you need a referral from a primary care doctor in order to register to a medical specialist (oculist, allergist, dermatologist, laryngologist, cardiologist, gastroenterologist, urologist, nephrologist, neurologist).

You don’t need to have a referral to a doctor: psychiatrist, gynaecologist, oncologist, obstetrician, venerologist, dentist.

Where are specialized medical clinics cooperating with the National Health Fund (NFZ) operating in Opole? You will learn this:

Medical help – telephone advice

From Monday to Friday, between 6 pm. and 8 am., on weekends (Saturday and Sunday) and holidays (i.e.

public holidays) you can use the help of Teleplatform of First Contact (TPK) – by calling the number

800 137 200. You will get:

  • medical advice (in the form of telephone consultation) provided by a doctor,  a nurse or a midwife
  • e-prescription, that is an electronic document in the form of a 4-digit code thanks to which you can buy medicine recommended by a doctor in a pharmacy
  • a certificate issued by the doctor exempting you from the classes for the duration of your illness, which will be the basis for justifying your absence from the classes
  • e-referral, that is an electronic document in the form of a 4-digit code thanks to which you can register to the specialist (e.g. oculist, allergist)

The hotline is operated in Polish, Ukrainian and English.

Online registration for foreign language exam
  1. Before starting the registration, please check at http://usosweb.uni.opole.pl if you have an EJO token (see above), which will allow you to register for the exam.
  2. If you do not have such a token, please report it to zetony@uni.opole.pl. Please provide in the e-mail the following data of yours: name, surname, index number. Within a few days you will receive such a token.
  3. One EJO token gives you an opportunity to register for the exam. After registration, you have two attempts to take the exam within one token.
  4. For the first exam, you shall register to your teacher’s group, namely to the group entitled for example “English language B2 exam – group led by … “
  5. Students who have a certificate shall register to the group entitled “Students with a certificate”
  6. Students who may be exempted from the exam shall register to the group entitled “Exam transcription”.
  7. First year students, admitted after diagnostic tests to the exam in June exam session shall register to the group entitled “Exam before foreign language course for the first year”.
  8. If you register for the wrong group or you register and you will not attend the exam, you lose a token.
  9. Registration for the exam takes place at the end of each semester, well in advance before the examination date.
  10. Remember – a student who is not registered in the system will not be allowed to take the exam.
Online registration for foreign language course
  1. UO students are required to pass the B2 level exam in a foreign language course
  2. Registration for the foreign language course takes place via the website http://usosweb.uni.opole.pl. It is intended only for full-time first-cycle students who have not yet started the foreign language course.
  3. Each first-year student of full-time first-cycle studies receives two JO tokens for learning one foreign language course at the same level (120 hours) and one EJO token for a foreign language exam. The tokens are the basis for online registration for classes and the exam.
  4. One JO token = 1 semester of classes. One EJO token = an opportunity to register for the exam. After registering for the exam, a student has two attempts to take this exam. If he/she fails it twice, he/she must retake the semester. To do this, one needs to contact the head of the particular foreign language section.
  5. If you have not received JO and EJO tokens, please contact your dean’s office.
  6. Registering does not mean you are accepted to the group. Only after approved registration you will be a participant of the course. You don’t need to register for the second semester of learning language – the next token is collected automatically.
  7. Students entitled to transcribe a foreign language course need to register in the “Transcription of foreign language course” group. They don’t have to attend the classes but they are in the lists and protocols. Once the semester is over the students should apply for an entry in USOS. You shall register to the “Transcription of foreign language course” group for each semester you want to have a transcription from.
  8. You shall carefully consider the language choice. You cannot change neither the language nor the group once registration is closed. If you don’t consider your choice properly, namely register and do not unregister during the registration or you do not notify it to the teacher, you will use your free token and you will have the status “NK” which means “not qualified”.
  9. Please check during the semester whether you are enrolled in the correct group in your USOSweb accounts at usosweb.uni.opole.pl
  10. When registering for a given language level, please take into account your matura exam result (at the B2 level the recommended result is 90% or more as regards basic level of Matura Exam or 50 – 60% as regards extended level of Matura Exam).
  11. If you use your free tokens (two JO and one EJO tokens) and you need to or you want to continue language learning, each subsequent registration (or automatic transcription for those continuing the classes) will be payable. At the time of enrollment in the group, the system will generate a payment that you must complete before the beginning of the semester. Please check it in USOSweb system at usosweb.uni.opole.pl
  12. Online registration does not apply to students of the Institute of Psychology and selected major and specializations at the Faculty of Philology
Medical care in Poland

Every foreigner who starts studies in Poland is obliged to acquire the health insurance. How to get it?

Persons of Polish descent

If you can confirm your Polish origin or have a Pole’s Card, you can have the voluntary insurance from the National Health Fund. Contributions will be paid through the UO.

Persons not of Polish descent

You can voluntarily join health insurance (this requires signing a contract with the National Health Fund – NFZ – and paying the contribiution every month).

If you are not entitled to obtain free medical care, you can insure yourself with a private insurance company. International Students Office cooperates with the PZU Wojażer.

Physical education classes (PE)

Physical education (PE) classes must be passed by students of full-time first-cycle studies and uniform master’s studies.

  1. Physical education must be completed in the 2nd and 3rd semester of studies (30 hours in each semester).
  2. If you fail the obligatory PE classes, you will have to repeat the subject conditionally and incur the costs (pursuant to the order of the Rector of the UO No. 13/2000 -100 PLN per semester).
  3. Students sign up for PE classes via online reegistration.
  4. Registration for PE classes takes place at the beginning of each semester. The exact date is given at least a month before its start on the website of the Study of Physical Education and Sport (SWFiS) UO.
  5. You can sign up for only one class selected from the SWFiS offer per semester.
  1. In justified cases, a student may be added to PE classes after registration or participate in two types of PE classes in one semester, but in order to do that the student must have the dean’s consent.
  2. Do you want to pass PE by transcribing the grade from the previously obtained credit in another field of study at the UO or at another university? You still have to register online for these classes. The teacher may then transcribe the credit, provided that you have completed two semesters of PE in the amount of 2x 30h / semester.
  3. Students with sick leaves or certificates of disability sign up for specially created PE groups (Pro-Health Education or Mind Games). They are available in the course offer as part of online registration. Sick leaves are verified by the teacher.
  4. Passing PE without the need to participate in classes can be obtained by:
    • members of the National Team
    • active players of the 1st and 2nd leagues
    • members of the AZS section who systematically participate in the trainings of the University Club.

Students who want to take advantage of this opportunity must also register online for PE and provide relevant certificates or documents.

  1. The teacher, during the first classes of the semester, will provide the detailed conditions for obtaining credits (method and dates of making up for absences).
  2. Students who want to take part additionaly in physical education classes, must have the consent of the teacher and purchase a membership card of the AZS University Club.

ATTENTION!

Using an e-mail account in the student.uni.opole.pl domain or using it to connect to the eduroam network equals to accepting the terms of the SKUO regulations.

It is possible to recover it the password to the access (email) account in case of its loss.

Library

In order to activate the library account in the UO library-information system, it is enough to send an e-mail to the address of any selected UO library. The email should include: name and surname, field of study, student ID number and an attached scan of the completed and signed declaration (download here)

In the first semester of your studies, you will have a one library preparation class. These classes are obligatory for all students starting full-time and part-time studies of the first, second and third cycle.

To access the eduroam wireless network, you must have a login and a password.

Every UO student has the right to use the eduroam network. To use it, use your university e-mail address (in the student.uni.opole.pl domain) and accept the provisions of the Computer Network Regulations of the University of Opole (SKUO).

Accounts from other domains (e.g.: math.uni.opole.pl, onet.pl, gmail.com, etc.) cannot be used to connect to the eduroam network.

To use the eduroam network, log in to the account management panel, which you can find at http://login.uni.opole.pl and enable (activate) the eduroam service in your e-mail account.

If you have an active e-mail address on the @student.uni.opole.pl server, the eduroam service is turned on and a your computer is equipped with a Wi-Fi card (compliant with IEEE 802.11b/g and supporting the data encryption protocol, e.g. WPA), you can use eduroam network not only on the UO campus, but also in many different locations in Poland and around the world. This requires proper configuration of the wireless network in the laptop.

How to do it? The description can be found in the Configuration menu.

ATTENTION!

Using an e-mail account in the student.uni.opole.pl domain or using it to connect to the eduroam network equals to accepting the terms and conditions of the SKUO regulations.

If you lose your e-mail password, you can reset it. Use the FORGOTTEN PASSWORD option available at http://login.uni.opole.pl
