First contact with the UO

Step 1 First contact with the UO

Once you are nominated by your home university, an officer of the UO will contact you via e-mail.

  1. Please read the registration instruction in the IRK system carefully
  2. If you have a language certificate, please send it to the UO officer (or take part in a short interview during which the committee will evaluate your language skills)
  3. Ask for any details that bother you

Step 2 Registration of a candidate in the IRK system

According to the instruction sent by the UO, please register in online candidate registration system (IRK).

  1. Make sure you have selected the correct UO Institute
  2. Check the data you enter into the IRK system
  3. Upload to the IRK system your photo that meets the requirements of this system
  4. In the ects.uni.opole.pl system, please select to your LA the courses approved by both your home and host university
  5. If you need it, please apply in the IRK system for a place in one of the UO Student Dormitories
  6. Approve the application submitted.

Step 3 Qualification for short-term studies

Your application will be verified by the UO. Please respond to any requests for amendments!

  1. Once the status of your application is changed to “qualified”, please print the LA document and submit it for signature at your home university.
  2. Please upload the signed LA document to the IRK system.
  3. Once the status of your application is changed to “accepted”, it means that you have successfully completed the procedure and have been accepted for short-term studies in one of the UO Institutes.

Step 4 Invitation letter and visa procedure

Once you are accepted, both the LA document signed by all parties and the invitation letter will be uploaded to the IRK system.

  1. Please download the LA document and the invitation letter from the IRK system.
  2. Please submit the LA document to your Erasmus+ Office
  3. If you need a visa entitling you to stay in Poland for more than 90 days, the invitation letter downloaded from the IRK system will allow you to complete this procedure

Step 5 Just before the mobility starts at the UO

Before your arrival to Opole, your assigned student-mentor belonging to the Buddy Mentors Program at the UO you will contact you.

  1. After being admitted to the UO, you will receive a link to register in USOSweb. It will be sent to the e-mail address indicated by you in the IRK application. Please follow the instructions to access this system.
  2. Please address any technical and organizational issues that bother you to your tutor from the Buddy Mentors Program bye-mail.
  3. Please be sure to read all e-mails sent by the UO officer responsible for incoming students at the UO

Just after arriving at the UO

Step 1 Just after arriving at the UO

Upon your arrival to Opole, you need to complete a few formalities. Please remember that the UO administration works from 7:30 to 15:30.

  1. Please come to the BNiOP International Mobility Team to confirm the date of your arrival.
  2. Please register in the UO Dormitories administration so that you can be allocated a place in one of the UO dormitories => Accommodation
  3. Please come to the welcome meeting for short-term students at the UO – you will be informed about the date of the meeting by e-mail.
  4. Access to USOSweb, eduroam, Libraries
  5. Issuing the Student ID – please pay the fee by using your individual account (access in USOSweb – Payments FK), come to the dean’s office of your faculty, order and then collect your ID card.
  6. Check in!

Step 2 Changes to LA document, studying

If the courses selected by you during the recruitment process won’t be available at the UO or there is an overlap in the timetable

  1. Please contact your Erasmus+ Departmental Coordinator as regards the list of courses available during your mobility.
  2. Please prepare the LA During the Mobility document by making changes to the original version of the document(LA Before the Mobility)
  3. Take part in all classes according to the schedule available in USOSweb.

Step 3 Academic life at the UO

During your studies at the UO, the Buddy Mentors organization, together with the officers of the BNiOP International Mobility Team, organizes a number of events you are more than welcome to participate in!

During the so-called adaptation week, you will have an opportunity to participate in integration events. Please feel invited!

Your assigned student-mentor from the Buddy Mentors Program will provide you with all information.

  1. The Buddy Mentors organization will encourage you to get involved in the implementation of activities planned for foreign students staying at the UO. Get involved!
  2. During your mobility, please make use of student media
  3. Do you want to join the University Choir? You are invited!
  4. Do you want to spend your free time actively after classes? Do sports!

Step 4 What to do in everyday difficulties

During your studies at the UO, difficult and unforeseen events may happen. What to do in such cases?

  1. If you feel sick, please read this information: medical help
  2. If your life or health or someone around you is in danger, please follow this instruction: direct threat to life

  4. Please remember that encountering any difficulties or problems you can ask for help the officers of BNiOP International Mobility Team or to your Buddy Mentor. We are here to make your stay at the UO possibly the best!

​Studies within the framework of Erasmus+ Programme or other forms of international exchange (MOBILITY RECOGNITION)


Step 1 Clearance slip

About 3 weeks before your departure, an officer of the BNiOP International Mobility Team will issue a clearance slip for you. It will be sent to your e-mail idstudent@student.uni.opole.pl. Please add your private e-mail address there (so as you could check later if everything worked out). In order to be able to settle with the University of Opole and get final documents after your mobility has terminated, you shall:

  1. Return all books to the library/libraries of the UO. Also, make sure you are not in arrears with any fees.
  2. Prepare your room to check out. Please check whether you have made all payments. If you settle accounts with the above units, your clearance slip will be accepted.
Step 2 Recognition of studies at the UO

The end of the semester is the time to pass it, or extending your stay to the next semester in the case of year-round mobilities.

  1. After completing all the courses, please report to the BNiOP International Mobility Team.
  2. A few days later you can pick up your transcript of records in English.
  3. Just before leaving Opole, please come to the BNiOP International Mobility Team and confirm the date of your departure. You will then receive the document “Confirmation of stay”.
  4. Are you staying at the UO for the next semester? Please extend your stay in the dormitory! I want to continue living in the dormitory

 

/If on the day of your departure, still you cannot see in the USOSweb system all your credits (although you know you have already passed all courses), UO officers will send you the transcript of records later, after preparing and getting the document signed/

Step 3 After finishing the short-term studies at the UO

After completing the mobility, based on the received documentation, you will be able to recognise your stay at the UO at your home university.

  1. If for some reason you are unable to pick up the final documentation before your departure, the officer responsible for incoming students will send you the documentation by post or e-mail.
  2. Please fill in an online survey after the mobility, evaluating the UO well! ☺
  3. Come back to us for another mobility or traineeship.

Bank account numbers

The bank account numbers of the university are on the student’s individual account in the USOS system (what this means – see below)

How to find them?

Log in to your USOSweb account and select the “FK student payments” tab.

You will find account numbers in it, thanks to which you will pay:

  • Tuition
  • repeating a semester or condition
  • dormitory
  • tokens
  • student’s ID

Remember, this is your individual account number!

Do not give it to your friends, they have their individual numbers.

USOS - What is it?

USOS is “(…) an IT system used to manage the course of studies at a university (…)”.

It is an application developed by a consortium of state universities associated in the Inter-University Center for Informatization (MUCI).

After successfully registering in the IRK recruitment system, you will receive to your e-mail address (provided during the recruitment process) a unique identification number for the USOS system (it will consist of 6 digits) and an e-mail address for UO containing this number. Your email will look like this:

ID (id number from USUS – 6 digits)@student.uni.opole.pl

From now on, using this number, you will log into your account to be able to, for example, check your grades, subjects, groups, sign up for some classes or generate account numbers for payments (e.g. for dormitories, conditions, repeating a semester or tuition).

Remember!

  • 999 is the emergency number of the ambulance service, the call is answered directly by the medical dispatcher
  • 112 is a universal emergency number that is valid on the territory of the European Union and is used for notification not only in health and life-threatening situations. The call is answered by the operator who, after the conversation, notifies the appropriate services: ambulance, fire brigade, police, water rescue services etc., or connects directly with the appropriate service.

Medical help – telephone advice

From Monday to Friday, between 6 pm. and 8 am., on weekends (Saturday and Sunday) and holidays (i.e.

public holidays) you can use the help of Teleplatform of First Contact (TPK) – by calling the number

800 137 200. You will get:

  • medical advice (in the form of telephone consultation) provided by a doctor,  a nurse or a midwife
  • e-prescription, that is an electronic document in the form of a 4-digit code thanks to which you can buy medicine recommended by a doctor in a pharmacy
  • a certificate issued by the doctor exempting you from the classes for the duration of your illness, which will be the basis for justifying your absence from the classes
  • e-referral, that is an electronic document in the form of a 4-digit code thanks to which you can register to the specialist (e.g. oculist, allergist)

The hotline is operated in Polish, Ukrainian and English.

Medical care in Poland

Every foreigner who starts studies in Poland is obliged to acquire the health insurance. How to get it?

Persons of Polish descent

If you can confirm your Polish origin or have a Pole’s Card, you can have the voluntary insurance from the National Health Fund. Contributions will be paid through the UO.

Persons not of Polish descent

You can voluntarily join health insurance (this requires signing a contract with the National Health Fund – NFZ – and paying the contribiution every month).

If you are not entitled to obtain free medical care, you can insure yourself with a private insurance company. International Students Office cooperates with the PZU Wojażer.

Eduroam network – Wi-Fi

To access the eduroam wireless network, you must have a login and a password.

Every UO student has the right to use the eduroam network. To use it, use your university e-mail address (in the student.uni.opole.pl domain) and accept the provisions of the Computer Network Regulations of the University of Opole (SKUO).

Accounts from other domains (e.g.: math.uni.opole.pl, onet.pl, gmail.com, etc.) cannot be used to connect to the eduroam network.

To use the eduroam network, log in to the account management panel, which you can find at http://login.uni.opole.pl and enable (activate) the eduroam service in your e-mail account.

If you have an active e-mail address on the @student.uni.opole.pl server, the eduroam service is turned on and a your computer is equipped with a Wi-Fi card (compliant with IEEE 802.11b/g and supporting the data encryption protocol, e.g. WPA), you can use eduroam network not only on the UO campus, but also in many different locations in Poland and around the world. This requires proper configuration of the wireless network in the laptop.

How to do it? The description can be found in the Configuration menu.

ATTENTION!

Using an e-mail account in the student.uni.opole.pl domain or using it to connect to the eduroam network equals to accepting the terms and conditions of the SKUO regulations.

If you lose your e-mail password, you can reset it. Use the FORGOTTEN PASSWORD option available at http://login.uni.opole.pl

Student rights and obligations - what is allowed and what is not!
  • Remember to comply with the study regulations of The University of Opole!
  • Familiarize yourself with the organization of the academic year and keep an eye on the dates of examination sessions
  • If you have a problem with obtaining grades and entries in the USOS (check it regularly) – apply to your dean’s office for an extension of the session. The decision in this matter is made by the Dean. Application forms are available on the websites of faculties and institutes.
  • If at the end of the semester you fail to obtain all positive grades – submit an application for conditional entry to the dean’s office. Conditional enrollment is possible only if you have failed no more than two [2] subjects that are required to pass the semester, excluding subjects whose continuation has been planned in subsequent semesters
  • You can be directed to repeat failed subjects and conditional entry – within one subject – no more than twice [2].
  • If you have not passed the semester within the specified period, then the Dean of your faculty will make a decision on this matter – remember, however, that he will only do so at your written request.

Remember, in each of these situations, you must submit an application to the dean’s office as soon as possible so as not to be removed from the list of students!

Conditional entry involves a fee. How much will it cost?

  • Each subject has ECTS points (what this means – read below)
  • The amount of the fee depends on the number of points missing to complete the semester. Each semester consists of min. 30 ECTS points. You have to pay PLN 70 for each missing point to complete the semester.

* Remember to register for foreign languages, electives, PE and variable courses at the beginning of a given semester via the USOS system.

Physical education classes (PE)

Physical education (PE) classes must be passed by students of full-time first-cycle studies and uniform master’s studies.

  1. Physical education must be completed in the 2nd and 3rd semester of studies (30 hours in each semester).
  2. If you fail the obligatory PE classes, you will have to repeat the subject conditionally and incur the costs (pursuant to the order of the Rector of the UO No. 13/2000 -100 PLN per semester).
  3. Students sign up for PE classes via online reegistration.
  4. Registration for PE classes takes place at the beginning of each semester. The exact date is given at least a month before its start on the website of the Study of Physical Education and Sport (SWFiS) UO.
  5. You can sign up for only one class selected from the SWFiS offer per semester.
  1. In justified cases, a student may be added to PE classes after registration or participate in two types of PE classes in one semester, but in order to do that the student must have the dean’s consent.
  2. Do you want to pass PE by transcribing the grade from the previously obtained credit in another field of study at the UO or at another university? You still have to register online for these classes. The teacher may then transcribe the credit, provided that you have completed two semesters of PE in the amount of 2x 30h / semester.
  3. Students with sick leaves or certificates of disability sign up for specially created PE groups (Pro-Health Education or Mind Games). They are available in the course offer as part of online registration. Sick leaves are verified by the teacher.
  4. Passing PE without the need to participate in classes can be obtained by:
    • members of the National Team
    • active players of the 1st and 2nd leagues
    • members of the AZS section who systematically participate in the trainings of the University Club.

Students who want to take advantage of this opportunity must also register online for PE and provide relevant certificates or documents.

  1. The teacher, during the first classes of the semester, will provide the detailed conditions for obtaining credits (method and dates of making up for absences).
  2. Students who want to take part additionaly in physical education classes, must have the consent of the teacher and purchase a membership card of the AZS University Club.

ATTENTION!

Using an e-mail account in the student.uni.opole.pl domain or using it to connect to the eduroam network equals to accepting the terms of the SKUO regulations.

It is possible to recover it the password to the access (email) account in case of its loss.

ECTS – European Credit Transfer System

What do ECTS credits mean? (European Credit Transfer System)

  • On the basis of the European Credit Transfer and Accumulation System (ECTS), individual subjects are assigned a certain number of credit points, regardless of the grade obtained. To pass a semester, you must earn 30 ECTS credits. ECTS points are a measure of the average workload of a learner necessary to achieve the assumed learning outcomes.
  • ECTS points are assigned to the classes credited by the student included in the study plan and curriculum. To obtain a diploma of completion of first-cycle studies, a student must obtain at least 180 ECTS points, to complete second-cycle studies – at least 90 ECTS points, and long-cycle studies – at least 300 ECTS points in the 5-year study system and 360 ECTS points in the 6-year studies.
  • For a student who transfers, together with ECTS points, classes completed at a university other than the home university, including a foreign one, these classes are included in the achievements expressed in ECTS points at the home university.
  • ECTS has been adopted by all universities in the European Higher Education Area (EHEA). Since 2007, all Polish higher education institutions have been obliged to use the ECTS system – both for the transfer and accumulation of credit points within their study programmes. Thanks to this, ECTS credits enable, for example, the recognition of semesters completed by foreign students at Polish universities.

Medical help – visit to the specialist

Please remember that in Poland you need a referral from a primary care doctor in order to register to a medical specialist (oculist, allergist, dermatologist, laryngologist, cardiologist, gastroenterologist, urologist, nephrologist, neurologist).

You don’t need to have a referral to a doctor: psychiatrist, gynaecologist, oncologist, obstetrician, venerologist, dentist.

Where are specialized medical clinics cooperating with the National Health Fund (NFZ) operating in Opole? You will learn this:
