First contact with UO

The following information applies to students studying at UO as part of the Erasmus+ Program or other forms of international exchange (SECTION FOR STUDENTS DURING MOBILITY).

After your nomination, a UO staff member will contact you via email.

  • Carefully read the registration instructions in the IRK system.
  • If you have a language certificate, send it to the UO staff member (or take part in a short interview during which the committee will assess your language proficiency).
  • Ask about any details that concern you.

According to the instructions sent by UO, register in the online candidate registration system (IRK).

  • Make sure you have selected the correct UO unit
  • Double-check all information you put into the IRK system
  • Upload a photo that meets the listed criteria into the system
  • In the system ects.uni.opole.pl, select the courses approved by your home university and UO for the LA document.
  • If necessary, use the IRK system to apply for a room in one of UO’s Students’ Dorms
  • Confirm your application

Your application will be verified by UO. Please follow all instructions and make corrections when needed!

  • Once your application’s status changes to “qualified” print your LA document and have it signed at your home university.
  • Upload the signed LA document into the IRK system.
  • The change of your application status to “accepted” means that you have successfully completed the procedure and have been admitted to short-term studies at one of the UO Units.

After you are accepted, the signed LA document (by both parties) and the invitation letter will be uploaded to the IRK system.

  • Download the LA document and the invitation letter for mobility from the IRK system.
  • Submit the LA document to your Erasmus+ Office.
  • If you need a visa allowing you to stay in Poland for more than 90 days, the invitation letter downloaded from the IRK system will enable you to complete this procedure.

Before your arrival in Opole, a student mentor assigned to you from the Buddy Mentors Program at UO will contact you.

  • After being accepted to UO, you will receive a link to register in USOSweb at the email address you provided in your IRK application. To access the system, follow the instructions provided.
  • For any technical or organizational questions you may have, contact your Buddy Mentors Program mentor by email.
  • Be sure to read all emails sent by the UO staff member responsible for handling incoming mobility at UO.

Immediately after arriving at UO

After arriving in Opole, you must complete several formalities. Remember that the UO administration works from 7:30 AM to 3:30 PM.

  • Visit International Mobility Team of BNiOP to confirm the date of your arrival.
  • Register with the UO Student Dormitories administration to be assigned a place in one of the dormitories =>Accomodation
  • Attend the organizational meeting for short-term study students at UO – you will be informed about the date via email.
  • Access to USOSweb, eduroam, Library
  • Obtaining your student ID – make a payment to your individual account (available in USOSweb – FK Payments), visit your faculty dean’s office to order, and then pick up your student ID.
  • Register your residence!

If the courses you selected during recruitment are not available at UO or the classes overlap in time

  • Consult with the Faculty Erasmus+ Coordinator at your UO Unit about the list of courses available during your mobility period.
  • Prepare the LA During Mobility document by making changes to the original version of the document.
  • Attend classes according to the schedule visible in USOSweb.

During your studies at UO, the Buddy Mentors organization, together with the International Mobility Team of BNiOP staff, organizes a variety of events which you are warmly invited to attend!

  • During the adaptation week, you will have the opportunity to participate in integration events. You are warmly invited! Your assigned student mentor from the Buddy Mentors Program will provide you with all the information.
  • The Buddy Mentors organization will encourage you to get involved in activities planned for international students at UO. Get involved!
  • During your mobility, make use of student-led media.
  • Would you like to join the University Choir? You’re welcome to join!
  • Want to spend your time actively after classes? Play sports!
  • Here you will find a range of groups and initiatives you can join.

During your studies at UO, difficult and unforeseen events may occur. What to do in such cases?

  • If you feel sick, read this information.
  • If your life or health, or that of someone around you, is at risk, follow this instruction.
  • Have you experienced inequality or discrimination? Help can be found here.
  • Remember, in any difficulties or problems, you can seek help from the International Mobility Team of BNiOP at erasmusplus.uni.opole.pl or from your Buddy Mentor. We are here to make your stay at UO as good as possible!

Things to do after your mobility

Sign-off sheet

About 3 weeks before your departure, a staff member from the International Mobility Team of BNiOP will issue you a sign-off sheet. It will be sent to your email idstudent@student.uni.opole.pl. Add your private email address to it so you can later check if everything went through.

  • To be able to settle with the University of Opole and obtain documents concluding your mobility, you must:
  • Return all books to the UO library/libraries. Also, make sure you have no outstanding fees.
  • Prepare your room for checkout. Make sure you have completed all payments. Check-out
  • If you settle with the above units, your sign-off sheet will be approved.

Settlement of studies at UO

The end of the semester is the time to complete it, or transfer it to the next semester in the case of year-long mobility.

  • After completing all planned courses, report to the International Mobility Team of BNiOP,
  • A few days later, you can collect your transcript of records in English.
  • Just before leaving Opole, visit the International Mobility Team of BNiOP and confirm your departure date. You will then receive the “Confirmation of Mobility Period” document.”
  • Are you staying at UO for another semester? Extend your dormitory stay!

If on your departure day not all your grades appear in the USOSweb system (even though you know you have passed all courses), UO staff will send you the transcript later, after preparing and signing the document.

After completing your studies at UO

After completing your mobility, based on the received documentation, you will settle your stay at UO with your home university.

  • If for any reason you cannot collect the settlement documentation before departure, the staff member responsible for incoming students at UO will send the documentation to you by mail or email.
  • Fill out the post-mobility report, giving a positive evaluation of UO!
  • Come back to us for another mobility or internship.
